Privacy Policy

Introduction

Better Resume ("we", "our", "us") helps people create, tailor, and export resumes and cover letters. This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and the choices you have.

We aim to follow the privacy laws that apply to our users, including Canada's PIPEDA, Alberta's Personal Information Protection Act, Quebec's Law 25, the EU and UK GDPR, the California Consumer Privacy Act as amended by the CPRA (CCPA), other US state privacy laws, Brazil's LGPD, and Australia's Privacy Act 1988.

Who is responsible for your information

Better Resume is operated from Calgary, Alberta, Canada. For the purposes of the GDPR and similar laws, we are the controller of the personal information described in this policy. You can reach our privacy contact at support@better-resume.com.

Information we collect

  • Account information. You sign in with Google. We receive your name, email address, and profile picture from your Google account. We never receive your Google password.
  • Content you provide. Resumes, cover letters, job descriptions, and any evidence or notes you enter while tailoring a resume. If you import a resume, we extract its text and save the resulting resume. We do not keep the uploaded file. Resumes often include contact details, work history, and education. Please do not include sensitive information, such as government ID numbers, health information, or details about your race, religion, or other protected characteristics. We do not ask for it and do not intentionally process it.
  • Billing information. Payments are handled by Stripe. We store your Stripe customer and subscription identifiers and your subscription status and dates. We do not receive or store your full card number.
  • Technical data. When you sign in, we record your IP address and browser type to secure your session. Our hosting provider also keeps server logs, such as request times and errors, which we use to keep the service running.

We collect this information from you directly, from Google when you sign in, and from Stripe for billing status. We do not buy personal information from data brokers.

Where we rely on consent, you can withdraw it at any time, and doing so does not affect what we did before. In Canada, we rely on your consent, which is implied when you use the features described here.

We do not use your content to train AI models, we do not sell your personal information, and we do not share it for cross-context behavioral advertising. We do not send marketing emails.

AI processing

Some features send your content to AI services, and only when you use them:

  • Import: the text extracted from the file you upload.
  • Rewrite with AI: the field you are rewriting and the surrounding resume content.
  • Tailor: your resume, the job description, and any evidence you provide.
  • Cover letters: your resume and the job details you enter.

We route these requests through OpenRouter to AI model providers (currently OpenAI models). We ask for endpoints with zero data retention, so providers are not supposed to store your prompts or outputs or use them for training. Extracting text from uploaded PDF and DOCX files runs on Cloudflare Workers AI.

AI output is a draft that you review and edit. It can be inaccurate or incomplete. We do not use AI to make decisions about you that have legal or similarly significant effects, and nothing in Better Resume scores, ranks, or screens you for employers. Employers and recruiters who receive your documents may use their own tools, which we do not control.

Who we share information with

We share information only with service providers that help us run Better Resume. Each is bound by its own terms or a data processing agreement:

  • Cloudflare for hosting, our database, server logs, and document text extraction.
  • Google for sign-in.
  • Stripe for payments and the billing portal. Stripe also acts as an independent controller of payment data for fraud prevention and legal compliance.
  • OpenRouter and its model providers for AI features.

We may also disclose information when the law requires it, to protect our rights, users, or the public, or as part of a merger, acquisition, or sale of assets, in which case we will tell you if your information becomes subject to a different policy. We do not sell personal information or share it for advertising.

Cookies and local storage

We use only what the service needs to work: a session cookie that keeps you signed in, and a setting in your browser that remembers your light or dark theme. These are strictly necessary, so we do not show a cookie banner. We do not use advertising, analytics, or tracking cookies, and we do not track you across other websites. Because we do not sell, share, or track your information, browser signals such as Global Privacy Control and Do Not Track do not change how we handle it. Google and Stripe may set their own cookies on their sign-in and checkout pages.

Retention and deletion

We keep your information while your account is active. Sessions expire automatically. You can delete your account at any time from your Profile page. Deleting it permanently removes your account, resumes, cover letters, and sessions, and cancels any active subscription. Server logs are kept only for a limited period set by our hosting provider. Stripe may keep payment records as long as financial and tax laws require, and deleted data may remain briefly in provider backups until it is overwritten.

Your rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you and know how it is used and shared.
  • Correct inaccurate information. You can edit your resumes and cover letters at any time.
  • Delete your information. Use Delete account on your Profile page, or contact us.
  • Receive a copy of your information in a portable format. You can download any resume or cover letter as a PDF, and you can contact us for other formats.
  • Object to or restrict certain processing, and withdraw consent where processing relies on it.
  • Limit the use of sensitive personal information (California). We do not use sensitive personal information for anything beyond providing the service.
  • Not be discriminated against for exercising your privacy rights.
  • Appeal if we decline your request (several US states). Reply to our response or contact us, and we will review it.
  • Complain to your local data protection authority, such as the Office of the Privacy Commissioner of Canada, the Office of the Information and Privacy Commissioner of Alberta, the Commission d'accès à l'information du Québec, your EU supervisory authority, or the UK Information Commissioner's Office.

To exercise a right, contact us at the address below. We may need to verify your identity, usually by confirming that you control the email address on the account. You can use an authorized agent, and we may ask for proof that they act for you. We will respond within the time the law requires, generally 30 to 45 days.

California disclosures

In the past 12 months we collected identifiers (name, email address, IP address), internet and device information, professional and education information from your resumes, and commercial information (subscription status). We collected it for the purposes described above and disclosed it to the service providers listed above. We did not sell it or share it for cross-context behavioral advertising.

Security

We protect your information with encryption in transit, restricted access to production systems, and infrastructure from established providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm to you, we will notify you and the relevant regulators as the law requires.

International data transfers

Our providers operate globally, so your information may be processed in countries other than your own, including Canada and the United States. Where the law requires it, we rely on safeguards such as the EU standard contractual clauses and the UK addendum, adequacy decisions, or other approved transfer mechanisms.

Children's privacy

Better Resume is not intended for anyone under 16, and we do not knowingly collect their personal information. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the effective date at the top. If a change is material, we will give you additional notice, such as an email or a message in the app, before it takes effect.
