A bookkeeper resume should show the financial records you maintained, how you checked transactions, and which decisions needed someone else's approval. This example connects QuickBooks Online to bank reconciliation, payables, receivables, and monthly reporting, with clear limits on payment and accounting authority.

Make the scope of your bookkeeping visible

Bookkeeping roles differ in how much of the accounting process they cover. Jordan handles the day-to-day records for one service business and prepares reports for an external accountant. An outsourced role may involve several clients. Another opening may combine bookkeeping with payroll, tax filings, or inventory accounting. A familiar title does not establish experience in all of those areas.

Jordan's resume names the records and the review arrangement early. The earlier accounts payable job remains under its actual title and dates. It shows how invoice matching and vendor-statement checks preceded the broader role, rather than implying that Jordan has handled the full set of books since 2021.

Read a posting for the duties behind phrases such as “full-charge bookkeeping” or “full-cycle accounting.” This sample does not demonstrate payroll processing, tax return preparation, inventory valuation, or independent month-end close. If those are required, treat them as qualifications to check against your history. Do not add them to the summary to make the title appear to match.

Explain reconciliation through records and exceptions

“Reconciled accounts” leaves the reader guessing which accounts were involved and what the work included. Jordan identifies the operating bank account and business credit card account, monthly frequency, and the records used to investigate differences. The accountant handoff shows where Jordan's responsibility ends when an item remains unresolved.

Reconciliation evidence includes the account type, supporting records, and unresolved-item handoff.

Describe the checks you actually performed. A bank feed match, a statement reconciliation, and a vendor-statement comparison are related but different tasks. If your experience was limited to categorizing imported transactions, say that rather than claiming responsibility for the reconciliation.

Avoid “100% accurate books” or “eliminated all discrepancies” unless you have evidence that supports the exact claim. A clear exception record, investigation, or documented handoff can show careful work without promising that every item was resolved. Separate invoice entry, approval, and collection work

Jordan's payable bullet describes account and job coding, a duplicate-invoice check, and a payment list for the owner. It gives an employer more information than “managed accounts payable,” while preserving the difference between preparing a payment and authorizing it.

The receivables bullet follows a different path: an approved work order becomes a customer invoice, a payment is applied to an open invoice, and unpaid or disputed balances receive follow-up notes. That is evidence of billing and account maintenance. It does not claim that Jordan recovered every overdue balance or set credit policy.

For your own resume, identify the documents you worked from and the exception you handled. Purchase orders, receiving records, approved work orders, and vendor credits are not interchangeable. Jordan's earlier supply-company role used purchase orders and receiving records. The current service-business role uses approved work orders for customer billing. Preserve the process that belongs to each job.

Do not publish customer balances, bank account details, or internal invoices as proof. You can describe the record type and your checks without exposing the records themselves.

Show what you prepared for monthly review

Jordan prepares reports, reconciliation records, and an open-questions list for the external accountant before the owner receives the package. This establishes financial reporting experience while making clear that the accountant handles review and closing decisions. Generating a report in software does not by itself show that you determined every adjustment or approved the financial statements.

If you posted adjusting entries, explain what you prepared and who reviewed them when that distinction matters. If you only gathered receipts for the accountant, describe that narrower contribution. Do not replace it with “owned month-end close.” A useful bullet can name the report, supporting schedule, unresolved question, and recipient without adding an unsupported claim about faster closing.

Keep software and credentials tied to evidence

Jordan's seven skills are supported by the experience entries. QuickBooks Online appears in reconciliation and transaction recording. Excel appears in a specific exception log, with filters and SUMIF formulas. Those details support the named tools without turning ordinary spreadsheet work into an “advanced Excel” claim.

Name the exact product you used. QuickBooks Online experience does not establish experience with QuickBooks Desktop, Xero, or an enterprise accounting system. If you used another tool only in a course, identify that learning context rather than implying paid experience.

Jordan lists an accounting associate degree and no professional certification. The college qualification does not make Jordan a Certified Bookkeeper. If you hold a relevant credential, use its official name, issuer, and accurate date or status. A preparation course is not the awarded credential. Leave a certification section out when you have nothing relevant to list.

Adapt the example to the opening

For a reconciliation-focused role, Jordan could keep the bank and credit card work first. For a payable-heavy opening, invoice checks and vendor-statement work could receive more space. A role requiring payroll or a particular degree needs a separate qualification check, even when the everyday transaction work looks familiar. If you are entering bookkeeping, use the work you have actually done: invoice checks, cash records, or a clearly labeled accounting course project. A practice ledger can show transaction entry and reconciliation of fictional statements. It cannot establish paid client experience or responsibility for a real company's books.
