A project coordinator resume should show the projects you supported, how you tracked work between milestones, and what you prepared for decisions and handover. This sample follows client software rollouts. It makes schedule dependencies, change requests, and unfinished work visible while keeping the project manager's approval role clear.
Caleb Foster, his employers, college, and career history are fictional. He works in Milwaukee, Wisconsin, coordinating scheduling-software rollouts for service offices after an earlier paid project assistant role. Replace the sample details with your own projects, tools, dates, and responsibilities.

Summary
Project coordinator supporting scheduling-software rollouts for service offices. Maintains milestone schedules and action logs, tracks requested changes through manager review, and prepares status reports and support handover records. Uses Smartsheet for project tracking and SharePoint for approved project documents, with earlier Excel readiness-checklist experience.
Experience
- Update Smartsheet rollout schedules from team progress reports, check dependencies between client data preparation, configuration, acceptance review, and training, and flag delayed inputs affecting later milestones to the project manager. (note 1)
- Maintain action and decision logs from client rollout meetings, confirm owners and due dates, and follow up on missing data templates and unresolved scheduling-rule questions before the next review.
- Log requests to change scheduling rules, gather implementation leads' assessments of scope and timing impacts, and record the project manager's decision before revising rollout records. (note 2)
- Prepare weekly status reports showing completed milestones, blocked tasks, revised forecasts, and pending client decisions, with links to supporting Smartsheet records for project manager review.
- Assemble support handover packages in SharePoint containing approved scheduling guides, client acceptance records, and an open-issue list with assigned owners, and confirm outstanding documents with implementation leads before manager sign-off. (note 3)
- Maintained Excel readiness checklists for office-system installations, checked client contacts and site access dates with account teams, and flagged unconfirmed items to the installation coordinator.
- Filed approved installation worksheets and completion records in SharePoint, checked document versions against the project index, and requested missing records before closeout review.

Skills
Smartsheet, Microsoft Excel, Microsoft SharePoint, Milestone tracking, Action logs, Change request tracking, Status reporting, Project handover
- Note 1:
The schedule connects stages that depend on each other, rather than listing dates alone.
- Note 2:
Caleb tracks a request and records the outcome. The project manager makes the approval decision.
- Note 3:
Open issues remain visible at handover, with owners assigned to follow up.
Put the project setting before the tool list
Caleb's headline and summary identify client software rollouts. His bullets then name data preparation, configuration, acceptance review, and training as stages he tracks. He does not claim to configure the software or execute acceptance tests himself. That distinction helps a reader understand the contribution behind “project coordination.”
The same title can describe different jobs. Construction coordination may involve drawings, submittals, site access, and turnover documents. An IT opening may emphasize implementation dependencies, scope changes, or client readiness. Read those responsibilities alongside the required experience, education, location, and travel conditions. This sample does not demonstrate construction knowledge, budget ownership, or technical implementation.
Caleb's earlier job remains Project Assistant. It supplies installation-readiness and document-control evidence without implying that he held the later coordinator role throughout his career. If your background is general office support, compare the administrative assistant example and identify the project work within your actual title.
Explain what a schedule update involved
“Kept projects on track” does not show what you checked or what happened when work slipped. Caleb updates an existing Smartsheet schedule from team reports and checks dependencies. A dependency means that one task relies on another. Client data preparation, for example, can affect when configuration and later acceptance review can proceed.
Experience
- Update Smartsheet rollout schedules from team progress reports, check dependencies between client data preparation, configuration, acceptance review, and training, and flag delayed inputs affecting later milestones to the project manager.
- Maintain action and decision logs from client rollout meetings, confirm owners and due dates, and follow up on missing data templates and unresolved scheduling-rule questions before the next review. (note 1)
- Note 1:
Missing data templates and scheduling-rule questions explain what needed follow-up.
The action log adds owners, due dates, and unresolved questions. Scheduling a meeting is useful, but this line shows Caleb's work after the conversation. He follows up on information the implementation team needs rather than claiming that every reminder prevented a delay.
For your own bullet, name the milestone, the input it depended on, and the update or escalation you made. Updating a schedule does not automatically demonstrate creating a project plan, assigning resources, or analyzing the critical path. Use the narrower description when it matches your work.
Without a reliable performance measure, describe a blocked input, a revised forecast, or a clear next action. If you have an on-time milestone figure, explain its period, what counted as complete, and whether it describes your assignment or the whole team. A forecast date is not an achieved delivery date. The bullet-point guide explains how to write from evidence without inventing a result.
Keep requested changes separate from approved scope
Caleb's change-request bullet follows a specific sequence: log a scheduling-rule request, gather assessments of its scope and timing impacts, record the manager's decision, then revise rollout records. That is useful coordination evidence. It does not imply that he promised a new feature or approved extra work on the client's behalf.
Experience
- Log requests to change scheduling rules, gather implementation leads' assessments of scope and timing impacts, and record the project manager's decision before revising rollout records.
- Prepare weekly status reports showing completed milestones, blocked tasks, revised forecasts, and pending client decisions, with links to supporting Smartsheet records for project manager review. (note 1)
- Note 1:
Pending client decisions belong in the report because they can affect what the team does next.
Describe who assessed the impact and who made the decision when that boundary matters. Gathering impact assessments does not establish budget ownership. Recording an approved change does not establish contract-negotiation experience. If you owned a budget or negotiated contracts, describe that responsibility with evidence instead of assuming it from your title.
The status-report bullet also has a clear audience and source. It gives the project manager completed milestones, blocked tasks, revised forecasts, and pending decisions, with supporting records. “Produced project reports” would leave those distinctions hidden. Keep client names, links to internal systems, contract values, and private project records off your resume.
Show what was ready for handover
Handover is the transfer of project information to the team that will support the client afterward. Caleb gathers approved guides, acceptance records, and an open-issue list in SharePoint. He confirms which documents are still outstanding before the manager signs off. The sample does not claim that he personally resolved every issue or authorized the rollout to go live.
Experience
- Assemble support handover packages in SharePoint containing approved scheduling guides, client acceptance records, and an open-issue list with assigned owners, and confirm outstanding documents with implementation leads before manager sign-off.
- Filed approved installation worksheets and completion records in SharePoint, checked document versions against the project index, and requested missing records before closeout review.
For your own resume, identify the receiving team and the materials you prepared. A handover package can be a concrete deliverable even without a measured improvement in support response time. If work remained open, explain how you recorded ownership and follow-up rather than describing the project as fully resolved.
Client acceptance records are also different from your own testing work. Gathering signed or approved records supports handover coordination. Designing test cases and checking software behavior require separate evidence, as the software QA tester example shows.
Match skills and credentials to the evidence
Caleb's eight skills each have support in the work history. Smartsheet appears in schedules and reporting, Excel in installation-readiness checks, and SharePoint in project documents. Milestone tracking, action logs, change request tracking, status reporting, and project handover each connect to a specific bullet. The list does not claim software administration, advanced Excel, or experience with a different project platform.
His business administration degree was completed in May 2020, before paid project assistant work began in July. He has no professional certification to list. A degree or exam-preparation course does not award PMI's Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) credential. Use an earned credential's official name and accurate status if it belongs in your application.
Check the posting's required and preferred qualifications separately. A coordinator opening that asks for a credential, particular industry experience, or budget responsibility may need evidence this sample does not provide. Do not add Agile, Scrum, or a certification abbreviation merely to make the skills list look complete.
Adapt the sample to your own level of responsibility
For an implementation opening, Caleb could emphasize dependencies, client decisions, and handover. For a documentation-heavy position, his approved records and missing-document checks could receive more space. Preserve the employers, titles, dates, and approval boundaries in either version. The tailoring guide explains how to choose the relevant evidence.
If you are entering project coordination from another role, look for an actual schedule, owner list, readiness check, or completion record you maintained. Explain the shared task and the limits of the match. The transferable-skills guide helps you make that distinction.
A course or volunteer project can show planning and follow-up when you label it honestly. Describe the deliverable, your role, the schedule, and what remained unfinished. Keep it separate from paid employment and avoid implying a commercial client or budget you did not have. The personal-projects guide covers how to present that work.
