An HR coordinator resume should show which parts of hiring and employee support you handled, the systems you used, and the checks behind your records. This example covers onboarding, approved employee changes, payroll handoffs, and offboarding while keeping coordination separate from HR decisions.
Nora Alvarez, her employers, her college, and the resume below are fictional. She has paid experience in recruiting support and HR coordination in Pittsburgh, Pennsylvania. Replace every name, date, system, and responsibility with your own verified facts.

Summary
HR coordinator supporting onboarding, employee records, and offboarding for a business services company, with earlier recruiting assistant experience. Updates approved employee changes in BambooHR, prepares payroll change records in Microsoft Excel, answers routine employee questions, and routes exceptions to the appropriate HR specialist.
Experience
- Coordinate orientation dates, equipment requests, and onboarding forms for new hires, track outstanding tasks against confirmed start dates, and flag missing items to the HR lead before orientation.
- Update job titles, departments, managers, and effective dates in BambooHR from approved change forms, compare saved entries with the source forms, and refer conflicting information to the HR lead. (note 1)
- Prepare a restricted-access Excel log of new-hire, pay, and departure changes for each payroll cutoff, check effective dates and missing approvals, and send the log to the payroll specialist with unresolved items flagged for review. (note 2)
- Answer routine employee questions with links to current HR forms and published company policies, record follow-up in the restricted HR request log, and route leave and benefits questions and policy exception requests to the responsible specialist.
- Maintain offboarding checklists from HR-approved departure notices, request account closure from IT, track equipment returns with office staff, and record completion confirmations and pending tasks for the HR lead.
- Scheduled interviews in Greenhouse using Outlook calendars, checked candidate availability and time zones, and sent candidates separate confirmations with meeting links and instructions. (note 3)
- Updated candidate stages in Greenhouse from recruiter decisions, checked for outstanding interview feedback, and sent recruiters a weekly list of records needing follow-up.

- Note 1:
Approved forms supply the changes. Checking the saved entries shows what record accuracy means in Nora's work.
- Note 2:
The payroll change log is a deliverable for specialist review, not evidence that Nora runs payroll.
- Note 3:
Booking interviewers' calendars and confirming with the candidate are separate tasks, so the bullet names both.
Make the employee workflow visible
HR coordinator titles cover different jobs. One opening may emphasize recruiting, while another focuses on employee records, benefits support, or orientation. Nora's recent role shows HR operations at a business services company. Her earlier role adds interview scheduling and candidate records. The resume describes that combination as it is, without stretching it into full-cycle recruiting or HR generalist work.
Start with the work the posting needs, then identify your part in it. Preparing a change record, entering an approved update, and approving the change are different contributions. Nora's wording lets the reader see the source of an instruction and what happens when the information is incomplete.
Her recent experience comes before education because it provides the strongest evidence. Her degree stays visible as supporting background. Keep your actual job titles even when the opening uses a different title.
Explain what onboarding coordination involved
“Onboarded employees” can hide several separate tasks. Nora arranges orientation dates, requests equipment, and tracks forms against confirmed start dates. The outstanding-task record matters because a scheduled orientation does not prove that every prerequisite is complete.
Experience
- Coordinate orientation dates, equipment requests, and onboarding forms for new hires, track outstanding tasks against confirmed start dates, and flag missing items to the HR lead before orientation.
- Maintain offboarding checklists from HR-approved departure notices, request account closure from IT, track equipment returns with office staff, and record completion confirmations and pending tasks for the HR lead. (note 1)
- Note 1:
Nora requests account closure from IT and records its confirmation. She does not claim to disable accounts herself.
Describe the tasks you completed, the information you tracked, and who handled an unresolved item. If you led orientation sessions, name their subject and audience. If you only scheduled them, keep that narrower description. Nora's resume does not demonstrate Form I-9 verification, background-check review, or benefits enrollment simply because those activities can appear in onboarding postings.
Offboarding needs the same precision. Tracking equipment returns and account-closure confirmations supports a coordination claim. It does not mean you decided to terminate employment, calculated final pay, or approved access permissions.
Give HRIS accuracy a source and a check
A human resources information system, or HRIS, holds employee records. Naming BambooHR tells the reader which system Nora used. Her bullet adds the details that matter: job titles, departments, managers, effective dates, approved source forms, and comparison after saving.
Experience
- Update job titles, departments, managers, and effective dates in BambooHR from approved change forms, compare saved entries with the source forms, and refer conflicting information to the HR lead.
- Prepare a restricted-access Excel log of new-hire, pay, and departure changes for each payroll cutoff, check effective dates and missing approvals, and send the log to the payroll specialist with unresolved items flagged for review.
An effective date identifies when a change applies. It may differ from the day you enter the information. If checking those dates was part of your job, describe it. Avoid “ensured complete compliance” or “maintained 100% accuracy” unless you have evidence for that exact scope and period. A comparison with approved records is useful evidence without an absolute guarantee.
Nora's Excel log supports payroll preparation, not payroll processing. It does not show that she calculated deductions, reconciled a pay run, or submitted tax filings. Use a narrower phrase such as “prepared payroll change records” when that reflects your contribution. For financial record work, the bookkeeper example shows different evidence based on invoices, ledgers, and bank statements.
If no reliable result metric exists, explain the record, check, discrepancy, and handoff. Do not estimate an error-reduction percentage because a bullet feels unfinished. The bullet-point guide explains how to write from concrete outputs.
Show how you handled employee questions
Nora answers routine questions using current forms and published company policies. She records follow-up in a restricted HR log and sends leave and benefits questions and policy exception requests to specialists. That explains both her service work and the limit of her authority.
“Resolved employee relations issues” would imply more than this sample supports. It does not demonstrate investigations, disciplinary decisions, leave eligibility decisions, or policy design. If you supported such work, describe your actual role and the review process instead of borrowing a broad label.
Show confidentiality through the way you worked, such as restricted records and approved communication channels. Keep employee names, pay amounts, medical information, complaint details, and internal screenshots out of examples you share. A resume can explain a process without exposing the people in it.
Keep systems and credentials specific
Nora's summary describes the same employee workflows as her bullets. All eight skills have supporting experience. BambooHR is tied to personnel updates, Excel to the payroll change log, and Greenhouse and Outlook to earlier recruiting work. Claim system configuration, integration work, or access administration only if you actually did that work.

Name the systems you used rather than adding Workday, UKG Pro, or ADP from a posting. Greenhouse is an applicant tracking system in Nora's earlier role. Her bullet credits recruiters with the stage decisions she recorded.
Nora has an HR-related degree and no professional certification. If you have earned the Associate Professional in Human Resources (aPHR) credential from HRCI or the SHRM Certified Professional (SHRM-CP) credential from SHRM, list the full credential name, issuer, and earned date, and check its current status. An HR degree, exam-preparation course, membership, or plan to take an exam is not the certification. Follow the particular posting's credential requirements rather than treating certification as mandatory for every coordinator.
Adapt the example when your background is different
For an employee-records opening, Nora could lead with approved changes and payroll handoffs. For recruiting support, she could give her interview coordination more space. Both versions stay within the work her history shows. Use the tailoring guide to select the strongest supported match.
If you are moving from office support, show real scheduling, record checks, or new-hire logistics under the title you held. The administrative assistant example provides that kind of background. Claim HR policy knowledge or employee-record access only where you actually had it.
If your evidence comes from an internship or course project, label the setting clearly. A practice onboarding checklist can show how you organized tasks, but it cannot become paid HR employment or a claim that you onboarded actual employees. The transferable-skills guide helps you explain a partial match honestly.
