Office Manager Resume Example and Writing Guide

Published , 6 min read

An office manager resume should show the workplace services you oversee, the people you supervise, and the purchasing or spending decisions you can make. This example covers one consulting office, with evidence of staff coverage, repair follow-up, supplier review, and budget tracking.

Celia Robinson, her employers, her college, and this career history are fictional. Her resume shows paid administrative support followed by office management in Richmond, Virginia. The two-person reporting team is illustrative. Replace every name, date, tool, responsibility, and figure with your own verified facts.

Skills

Staff supervision, Vendor management, Facilities coordination, Purchasing, Budget tracking, Microsoft Excel, Microsoft SharePoint, Microsoft Outlook

  1. Note 1:

The staff roles, work assignments, and feedback make supervision concrete.

  2. Note 2:

Celia can place some orders herself. Larger purchases need the director's approval.

  3. Note 3:

Service follow-up and renewal recommendations support vendor management without implying contract-signing authority.

A complete office manager resume showing responsibility for one office and its support team.

Make the management scope visible

Celia's summary identifies a single-site office and two employees she supervises. Her first bullet explains how she directs their work: priorities, absence coverage, training, and feedback. That gives the reader more information than “managed office operations” or “provided leadership.”

State the scope you actually held. Direct reports are different from coworkers you helped or contractors whose visits you scheduled. Training a colleague can support a training claim, but it does not establish responsibility for their workload or performance. Include a team size only when you can explain who reported to you and during which period.

Office manager titles cover different combinations of work. Some openings combine workplace services with executive calendars and travel. Others include payroll, specialized records, or several locations. Celia's sample demonstrates one office's support services. It does not demonstrate executive support, payroll processing, lease negotiation, or multi-site management.

Her earlier Administrative Assistant title stays intact. Stock checks and room scheduling explain useful preparation for the later job, without backdating her management experience. If your background is primarily department support, the administrative assistant example shows how to present that work on its own terms.

Show how office services stay covered

An office needs reception and deliveries covered when someone is absent, as well as a way to handle disruptions to shared spaces. Celia's supervision bullet shows the staffing side. Her repair bullet shows how she coordinates property management, vendors, and employees when a space needs attention.

  • Coordinate HVAC and meeting-room repair requests with property management and service vendors, schedule vendor access to limit disruption to staff, and check the affected space with staff before closing each request in the service log. (note 1)
  1. Note 1:

Checking the affected space adds evidence of follow-through beyond booking a vendor visit.

Staff coverage and repair follow-up are separate parts of running office services.

The HVAC reference describes arranging repair work, not repairing equipment. Her check with staff confirms whether the reported office problem is resolved. It does not claim a technical inspection or certification that a building meets every safety requirement.

For your own bullet, identify the service, the disruption, and what you did through completion or escalation. A vendor visit alone does not prove a fault was fixed. If the issue remained open, describe the follow-up you arranged instead of claiming successful resolution.

Keep the description proportional to your responsibility. A single office's repair coordination can be relevant to a larger workplace role, but it does not by itself establish experience managing construction, laboratories, or building systems.

Distinguish purchasing authority from spending reports

Celia's purchasing bullet names the comparison criteria and the limit of her decisions. She considers delivery charges and lead time alongside price. She can place orders within delegated limits, while the director decides on larger purchases. The resume does not need to disclose a confidential approval threshold to explain that boundary.

  • Compare office supply quotes by price, delivery charges, and lead time, place orders within delegated purchasing limits, and submit requests for larger purchases with recommendations to the operations director for approval.
  • Track supply and service spending, open orders, and expected renewal costs in Excel against the approved office budget. Explain monthly variances to the operations director and match vendor invoices to orders and received services before sending them to finance. (note 1)
  1. Note 1:

Open orders and expected renewal costs show spending still to come, alongside costs already recorded.

Order decisions, budget tracking, and invoice checks describe different financial responsibilities.

Budget tracking means comparing spending and commitments with an approved plan. Celia explains differences, or variances, to the director. Her resume does not claim that she sets the annual budget. Matching invoices to orders and received services also does not establish bank reconciliation, payment authorization, or accounting close experience. The bookkeeper example explains how to present ledger and reconciliation work.

If you have a verified saving, explain what was compared and whether it was a lower quote, an approved purchase, or an actual reduction in spending. Those are different results. Without a reliable measure, the comparison, recommendation, and decision are still useful evidence. Do not add a savings percentage merely to finish a bullet. The bullet-point guide explains how to describe a concrete contribution without a measured outcome.

Give vendor management and procedures their own evidence

Celia follows up on missed cleaning work and repeat copier faults, confirms corrective visits, and prepares renewal comparisons. That shows what “vendor management” covers in her job. It does not claim that she negotiated new contract terms or had authority to sign a renewal.

  • Review cleaning and copier service issues with vendors, document missed work and repeat faults, confirm corrective visits, and prepare renewal comparisons for the operations director's contract decision.
  • Maintain the office services handbook in SharePoint, revise delivery and room-readiness checklists after recurring problems, and have the receptionist and office services assistant try revised instructions before using them in training.
Supplier follow-up and tested office instructions show how Celia responds to recurring problems.

The handbook bullet explains a process change without inventing a time saving. Celia revises delivery and room-readiness instructions after problems recur, then has the people using the instructions try them. The document, its subject, and the check are evidence she can discuss in an interview.

Choose similarly specific details from your work. A service log, comparison of renewal options, or revised coverage procedure can show judgment without exposing vendor prices, contract clauses, or private staff feedback. Describe the process and your contribution rather than attaching internal records.

Match the opening to your evidence

All eight skills in Celia's resume connect to experience. Supervision, facilities coordination, purchasing, vendor management, and budget tracking each have a dedicated bullet. Excel supports spending and stock records, SharePoint holds the handbook, and Outlook supports her earlier meeting scheduling. These uses do not imply advanced spreadsheet modeling or software administration.

Celia completed her business administration degree in May 2018 before starting paid assistant work in July. She has no professional certification. A degree or exam-preparation course does not confer the Certified Administrative Professional (CAP) credential from IAAP. List an earned credential with its issuer and date when relevant, and check its status before applying. Follow the opening's actual education and credential requirements.

For a role emphasizing reception supervision, Celia could keep staff assignments and coverage first. For an opening centered on suppliers and spending, her purchasing, budget, and vendor bullets could lead. An executive-support opening would need calendar and travel evidence beyond what this sample shows. The tailoring guide explains how to select supported matches.

If you are moving from an assistant role, identify the responsibilities you already held, such as reorder recommendations or training a new colleague. Keep the original title and explain the partial match. Do not change it to Office Manager or add direct reports you did not have. The transferable-skills guide helps you connect that evidence to the next role.
