Purchasing Agent Resume Example and Writing Guide

Published , 6 min read

A purchasing agent resume should identify what you bought, how you compared suppliers, and how you handled an order after sending it. This example follows maintenance supplies and shipping packaging from quotations through order changes, partial deliveries, and invoice questions. It shows useful purchasing evidence without inventing cost savings.

Anika Coleman, her employers, her college, and the resume below are fictional. The sample describes paid purchasing work in Milwaukee, Wisconsin, with a clerk role before a plant purchasing agent role. Replace the sample details with your own verified experience.

Purchasing AgentMar 2023 – Present
  • Request quotes from approved suppliers for replacement belts, fasteners, and shipping cartons. Compare specified items, pack quantities, freight, and delivery dates in Excel, negotiate revised freight and delivery terms, and submit a recommendation to the purchasing manager for approval. (note 1)
  • Create purchase orders in NetSuite from approved requests, check item numbers, units of measure, prices, and ship-to details, and send orders after the purchasing manager approves them.
  • Compare supplier acknowledgments with purchase orders, resolve price or quantity differences before shipment, and record agreed changes in NetSuite with the required approvals. (note 2)
  • Review open orders with suppliers, confirm remaining quantities after partial deliveries, and report revised arrival dates to maintenance and shipping teams. Obtain maintenance approval for proposed replacement parts before changing an order. (note 3)
  • Investigate invoice price and quantity differences against purchase orders and receiving records, request supplier corrections, and send supporting records to accounts payable for payment review.

Skills

Requests for quotation, Quote comparison, Purchase orders, Supplier negotiation, Expediting, Invoice discrepancy resolution, NetSuite, Microsoft Excel

  1. Note 1:

The comparison includes pack quantities and freight. A lower quoted price alone does not establish a better purchase.

  2. Note 2:

The supplier's response is checked against the order before shipment, with approval for changes.

  3. Note 3:

Following up on delivery and approving a technical replacement are different responsibilities.

A complete purchasing agent resume for a manufacturing plant role.

Make the buying category clear

Anika buys replacement belts and fasteners for plant maintenance, plus shipping cartons for finished products. That context matters. Maintenance, repair, and operations supplies are often shortened to MRO. Buying MRO supplies and packaging differs from buying production raw materials, selecting retail assortments, or awarding public contracts. Her resume does not imply experience in all of those settings.

The summary names her categories, Excel comparisons, NetSuite orders, and follow-up work. Each claim appears in the recent job. Her earlier role remains Purchasing Clerk because checking requests and preparing records for a buyer did not make her the purchasing decision-maker.

Read the duties behind “buyer,” “purchasing agent,” or “procurement specialist” in the opening. Anika's example does not demonstrate demand forecasting, engineering drawing interpretation, international sourcing, or responsibility for a whole category's strategy. A familiar title should not conceal those gaps.

Explain how you compared quotations

“Obtained competitive quotes” leaves the comparison unclear. Anika names the products, approved supplier pool, pack quantities, freight, and delivery dates. She also negotiates freight and delivery terms, then submits a recommendation for approval. The wording shows a commercial contribution without implying unlimited contract authority.

  1. Note 1:

Negotiating revised freight and delivery terms supports the negotiation claim. Merely collecting price lists would be a narrower task.

  2. Note 2:

An approved request and an approved purchase order are separate checkpoints in this fictional process.

Quotation work and purchase-order preparation provide separate evidence.

For your own bullet, explain a comparison you actually made. A case price and a unit price cannot be compared directly without checking pack quantities. A cheaper item may have a different specification, freight charge, or arrival date. Describe the relevant checks rather than claiming you always selected the lowest price.

If you report savings, be ready to explain the baseline, quantity, period, and your contribution. A lower quote is not automatically a realized saving. Without reliable outcome records, a quote comparison, revised offer, or documented recommendation is still evidence. The bullet-point guide helps turn that work into a clear line.

Follow the order beyond its issue date

A sent purchase order does not establish that the supplier accepted its terms or delivered everything. Anika checks acknowledgments for differences before shipment. She then tracks remaining quantities after partial deliveries and gives maintenance and shipping teams revised arrival dates.

Experience

  • Compare supplier acknowledgments with purchase orders, resolve price or quantity differences before shipment, and record agreed changes in NetSuite with the required approvals.
  • Review open orders with suppliers, confirm remaining quantities after partial deliveries, and report revised arrival dates to maintenance and shipping teams. Obtain maintenance approval for proposed replacement parts before changing an order.
  • Maintain an Excel log of late deliveries and incorrect items, distinguish requested dates from supplier-confirmed dates, and use the records in monthly supplier reviews with the purchasing manager.
Acknowledgment checks, open quantities, and supplier records show what happens after an order is sent.

Use details such as an unconfirmed order, a changed ship date, a short delivery, or a proposed substitute when they reflect your work. State whom you informed and what happened next. “Expedited orders” becomes more useful when a reader can see what needed follow-up. Do not turn a supplier's revised promise into a claim that you prevented a plant shutdown.

Anika asks maintenance to approve replacement parts. Buying a belt does not establish that she can decide whether another belt is technically suitable. Her delivery log also keeps requested dates distinct from supplier-confirmed dates. If you report on-time delivery performance, explain which date you used and whether you counted orders, order lines, or shipments.

The warehouse associate example focuses on receiving, scanning, and physical stock checks. Anika uses receiving records to follow up with suppliers. Her resume does not claim that she performed every warehouse task herself.

Describe invoice questions from the purchasing side

Anika investigates a price or quantity difference using the purchase order and receiving record. She requests a supplier correction and passes supporting records to accounts payable. That supports invoice discrepancy resolution without claiming that she releases payments or owns the payable ledger.

Experience

  • Investigate invoice price and quantity differences against purchase orders and receiving records, request supplier corrections, and send supporting records to accounts payable for payment review.
The purchasing contribution is the investigation, supplier correction request, and evidence for payment review.

Keep that boundary accurate in your own application. If you only sent the invoice to finance, do not call it three-way matching. If you checked the order, receipt, and invoice, describe the difference you investigated and who handled approval. The bookkeeper example shows a different role with transaction records and account reconciliation.

You can explain the records without sharing supplier pricing, bank details, or confidential purchase documents. A resume needs a clear description of the work, not an attachment containing internal evidence.

Select supported tools and credentials

The eight skills in Anika's resume each connect to experience. Requests for quotation and quote comparison appear in the first bullet. Negotiation is limited to freight and delivery terms. Expediting is supported by supplier follow-up and partial-delivery checks. NetSuite appears in order creation and changes, while Excel appears in comparisons and supplier records.

Use the system you actually used. NetSuite purchasing experience does not establish SAP expertise, software implementation experience, or ownership of material requirements planning. If an opening requires those, check your evidence separately. Anika's skills list does not add them to make her look like a complete match.

Her supply chain degree is an academic qualification, and she holds no professional certification. Certified Professional in Supply Management, or CPSM, is a credential from the Institute for Supply Management. A degree or preparation course is not that credential. List a certification only with its correct name, issuer, and accurate date or status. Do not treat every purchasing opening as having the same education or certification requirement.

For a role emphasizing supplier comparisons, Anika could keep quotations first. For one emphasizing order execution, acknowledgments, delivery follow-up, and invoice questions could lead. The tailoring guide explains how to change emphasis while preserving titles and facts.

If you are entering purchasing, keep relevant request checks, order tracking, or stock records under the job where you performed them. A clearly labeled course project can show a comparison of fictional supplier offers, but it cannot establish paid negotiation experience. Office supply buying may also be one part of a broader job, as in the office manager example. Explain that scope instead of renaming the job.
